How to Collect Event Registration Fees Using a UPI QR Code

Learn how event organizers, college clubs, and communities can use commission-free UPI QR codes to collect registrations and ticket payments.

Organizing a college fest, a local charity run, a workshop, or a community meetup requires a smooth registry and ticketing system. Standard online ticketing portals charge up to 5% to 10% ticketing commissions.

By combining Google Forms with a custom UPI QR code, you can build a 100% free, commission-free event registry. Here is how.

Why Avoid Standard Ticketing Gateways?

For small meetups or charity events, ticketing portals eat into your margins. If you sell 200 tickets at ₹500 each, a gateway fee of 5% means you lose ₹5,000. Using a direct UPI QR code ensures every single rupee is deposited directly into your team’s bank account instantly.

Step-by-Step Setup Guide

1. Build a Google Form for Registration

Create a standard registration form asking for:

  • Full Name and Email Address
  • Phone Number / WhatsApp
  • Ticket Category / Preferences

2. Generate a Dynamic QR Code

Go to Pro UPI QR, enter your bank VPA, and set the ticket amount (e.g., ₹500) and note (e.g., “TechFest Entry”). Download the high-resolution QR poster.

3. Embed the QR Code inside the Google Form

Add an Image Section right before the submit button in your Google Form showing the QR card. Add instructions:

“Scan the QR code above and transfer ₹500. Copy the 12-digit UPI Transaction ID (UTR) and upload the payment confirmation screenshot below to verify your ticket.”

4. Add Verification Fields

Add two required fields to your form:

  • UPI Transaction ID (UTR): A 12-digit number (e.g. 3129...).
  • Screenshot Upload: A file upload question to check the payment status visually.

Tips for Event Days

On the day of the event, print out several A4 Size Pro UPI QR posters and place them at the entry gates. This allows walk-in guests to scan, pay, and show the screen to your volunteers for instant entry, preventing long queues at the registration counter.
