Invoice vs receipt vs credit note — which document, when?

Three documents, three different jobs. Mixing them up costs small businesses money in disputes, GST filings, and awkward client conversations. Here is the complete picture in plain language.

Invoice — the document that creates the debt

Under GST law a tax invoice must carry your GSTIN, a consecutive number, date, recipient details, itemised values, tax rate and amount, and place of supply. It converts delivered work into a payable obligation — the document accountants file and buyers use for input tax credit.

Intra-state supplies split tax into CGST + SGST; inter-state uses IGST. If you are not GST-registered you issue a plain bill of supply instead and cannot charge GST at all.

Receipt — proof that closes the loop

A receipt acknowledges specific money received on a specific date via a specific mode — cash, UPI, bank transfer, cheque — ideally with the UTR/reference printed. It ends disputes ("I never paid") before they start and gives your customer documentation for their own records.

Credit note — the correction document

Goods returned, discount granted after billing, rate corrected downward, invoice cancelled — none of these let you edit the original invoice. Section 34 of the CGST Act requires a credit note that references the original invoice's number and date while stating the reduced taxable value and tax.

Both sides adjust their returns: your GSTR-1 shows lower output tax; the buyer reduces input credit by the same amount. Deadline: issue before 30 November following the supply's financial year, and report in the period's GSTR-1.

A worked example

Day 1: Café owner asks for branding. You send QTN-0031: ₹45,000 + 18% GST, valid 30 days, 50% advance.

Day 3: She approves; ₹22,500 advance arrives by UPI. You issue receipt RCPT-0117 referencing the quote.

Day 24: Work delivered. Tax invoice INV-2026-058 raised for ₹53,100 total, advance adjusted, balance due in 7 days.

Day 26: Balance paid via the invoice's embedded QR. Instant receipt RCPT-0118 marks full settlement.

Day 30: She returns one signage board unused — credit note CN-0009 reduces the billed value against INV-2026-058.

Common mixing mistakes

  • Sending a "quotation" after delivery — by then it must be an invoice.
  • Marking estimates as quotations — clients treat quoted prices as fixed promises.
  • Raising UPI collect requests without any invoice — collect requests prove nothing about what was purchased.
  • Invoicing but never receipting — leaves "I already paid" permanently arguable.
  • Reusing invoice numbers without financial-year prefixes — filing-season confusion guaranteed.

Frequently asked questions

Can I use an invoice as proof of payment?

No. An invoice only proves that payment was demanded, not that money arrived. Only a signed receipt or a bank/UPI statement proves settlement. That is why every invoice should be followed by a receipt once the customer pays.

Is a credit note the same as a refund?

A credit note is the GST-compliant document that reduces a previously issued tax invoice — it may accompany a refund, or simply adjust future balances without any money moving. A refund is the actual return of money and can exist without paperwork (bad idea) or with a credit note (correct).

Do both invoice and receipt need serial numbers?

GST tax invoices legally require consecutive serial numbers. Receipts are best-practice numbered too (RCPT-0001 style) so each payment acknowledgement can be referenced in reminders, audits, and disputes.

Can one document be both invoice and receipt?

Some small vendors write 'PAID' across an invoice copy — functional but messy. The clean pattern is two documents: the invoice demanding payment before, and a receipt acknowledging it after. Our generators produce both in matching formats within seconds.
