How to Add a PAID Stamp to Any Invoice or Bill Photo

Somewhere in every shop’s drawer lives a bundle of settled bills — hotel folios, repair invoices, supplier bills, rent receipts — marked by a rubber stamp reading PAID in faded blue ink. That humble stamp does quiet legal work: it ends arguments about what was paid, when, and to whom.

What a good paid stamp contains

A rubber stamp says only “PAID”. A useful digital stamp carries more:

  • Status word — PAID, SETTLED, RECEIVED, or CANCELLED as appropriate
  • Date of settlement — not just the invoice date
  • Signature line — “for {Business Name}” makes it an authorised act rather than decoration
  • Reference hook — ideally matching an invoice number printed on the document

Colour carries meaning too. Green reads as completed; red suits CANCELLED or DUPLICATE; blue mimics traditional ink stamps and photographs well from white paper.

Three ways to stamp, worst to best

1. Handwriting on a printout

Print, write “PAID”, sign, photograph, send back. Works once; becomes a daily chore, produces inconsistent records, and photos come out crooked with shadow.

2. Editing software

Opening a PDF editor, inserting a text box, rotating it, exporting — three minutes per document if you know the tool, ten if you don’t. Not something you’ll sustain across dozens of monthly bills.
